Structuring a leadership retreat in Alleppey
Alleppey works well for a leadership retreat because it forces people off their phones and out of office mode. The backwaters, the slow pace, the houseboats - all of it creates the right conditions for the kind of honest conversation that a conference room never will. Here is how to structure it properly.

How to structure the two to three days
Day one should be arrival, lunch, and a half-day houseboat session. Keep it unstructured. Let people settle. A facilitated conversation on one or two strategic themes works better here than a full agenda. Day two is your working day. Morning for structured workshops or offsites, afternoon for a team activity on the water, evening for a hosted dinner on the houseboat or at the resort. Day three is a short morning reflection or planning session, then departure after lunch. Three days is usually enough. Four days and people start getting restless.
Choosing the right venue
For a group of 12 to 30 people, a private villa or boutique resort with dedicated conference space is more practical than a large hotel. Alleppey has several properties along the canals that can block out the entire space for a corporate group. This matters because the retreat only works if the group is not sharing the property with unrelated guests. Expect 6,000 to 12,000 INR per person per night for a decent property with meals and basic AV included. The range depends on season and exclusivity of the property.
What to prepare before you go
Send a one-page brief to participants before travel. What is the purpose of this retreat, what decisions need to come out of it, what is expected of each person. Do not over-programme. If every hour is scheduled the group will disengage. Build in at least one unstructured block of two hours each day. A combination works well. Base at the resort, take the houseboat for a half-day or evening.
How far in advance should we book for a group of 20 people?
For peak season, October to February, book the property at least six to eight weeks out. Flight blocks for a group need even more lead time if you want reasonable fares. Last-minute bookings in peak season usually mean compromising on the property or paying significantly more. For off-peak travel you have more flexibility but two to four weeks minimum is still sensible.
