Structuring a leadership retreat in Kodaikanal
Kodaikanal works well for leadership retreats because it forces people offline. The drive from Bangalore is roughly 7 to 8 hours, long enough that by the time the group arrives, the city noise has genuinely faded. Here is how to structure three days sensibly.
Get a proposalGetting there and settling in
Most groups leave Bangalore by 5 AM to reach Kodaikanal by early afternoon. Hiring a fleet of tempo travellers keeps the group together and costs less than individual cabs. Book accommodation in the Lake Road or Coaker's Walk area. Bungalow-style properties with a common lawn work better than hotels for retreat formats because you can use the outdoor space for evening sessions without booking a separate venue. Arrive, eat, and give people two hours to settle. Do not start programming on Day 1 evening. A short walk around the lake after dinner is enough. Leaders need to decompress before they can think clearly.
Day 2: the working core of the retreat
This is your full programme day. Run a structured offsite session in the morning, 9 AM to 1 PM, covering whatever the leadership team actually needs to work through. Strategy alignment, team health, org structure, or a combination. Keep it facilitated and time-boxed. Treemonks can arrange an external facilitator if you do not want an internal person running the room. After lunch, a two-hour outdoor activity, a nature walk, a cycling circuit around Bryant Park, or a cooking session at a local homestay, breaks the sitting. Evening can be a lighter working dinner with one agenda item. This structure fits roughly 10 to 15 people comfortably.
Day 3: closing and heading back
Half-day programme, no more. Use the morning for individual commitments, what each leader is taking back to their team, and a short feedback round. Wrap by noon. Lunch, checkout, and departure by 1 PM gets you back in Bangalore by 9 PM, which people appreciate on a Sunday. Do not try to add activities on Day 3. The temptation is to fill the time. It reduces the quality of the closing session and makes people feel they are running through a checklist rather than finishing properly.
Budget and what to expect
For a group of 12 to 15 people, expect to spend somewhere between INR 1.5 lakh and INR 2.5 lakh total, covering accommodation for two nights, all meals, transport from Bangalore and back, one activity, and basic AV for the session room. Facilitator fees, if external, sit on top of that. Kodaikanal venues in the mid-range tier are reasonably well-equipped but confirm internet quality before you book if the programme involves any online components. Some properties have patchy connectivity, which can be a feature or a problem depending on your intent.

Frequently asked questions
What is the best time of year to do a leadership retreat in Kodaikanal?
October to March is the most reliable window. The weather is cool and clear. June and July can work if your group is comfortable with mist and occasional heavy rain, but outdoor activities become unpredictable and travel on the ghat road can slow down significantly.
How many people is Kodaikanal suitable for?
It works best for groups of 8 to 20 people. Smaller groups than that often do not justify the travel, and larger groups start to strain the better bungalow properties. If you have 25 or more leaders, consider splitting into two batches or looking at a property with conference-grade capacity.
Can we combine the leadership retreat with a team outing for the broader team?
It is possible but not advisable to run both simultaneously at the same property. Leadership retreats need a quieter, more contained environment. A common approach is to run the leadership retreat first and plan a separate team outing at a different time. Treemonks can coordinate both separately if needed.
How far in advance should we book for Kodaikanal?
For groups of 10 or more, book the property at least 6 to 8 weeks ahead. Good bungalow properties with lawn space and a session room fill up quickly, especially around long weekends. If your dates are flexible, mid-week travel is cheaper and the better properties are more available.
