Structuring a leadership retreat in Madikeri

Madikeri is about 5 to 6 hours from Bangalore by road, which is far enough to break the office mindset but close enough that you are not losing a full day to travel. For a leadership group of 10 to 25 people, it works well as a 3-night, 4-day format. This guide covers how to structure those four days so the time is spent usefully.

Travel and arrival day

Leave Bangalore early, around 6 AM, to reach Madikeri by noon. Most properties will allow early check-in if you confirm in advance and pay for it. Use the afternoon loosely. A short walk, a coffee estate visit, or just unstructured time before dinner. Do not schedule any formal sessions on arrival day. People need a few hours to decompress before they can have any meaningful conversation.

How to structure the working sessions

Keep formal sessions to mornings, roughly 9 AM to 1 PM. Two focused sessions of 90 minutes each, with a break in between, is more productive than a full-day workshop. Use afternoons for either outdoor activities or informal small-group conversations. Evenings should be social, with a structured dinner conversation at most. For content, a leadership retreat works best when it addresses one or two real problems the organisation is facing, not a generic agenda downloaded from a template. Ask your CEO or CHRO to define the two questions they want answered by the end of the retreat. Build the sessions around those.

Venue and property selection

Madikeri has a reasonable range of estate properties and boutique resorts that can take a group of 10 to 25 people exclusively. Budget roughly Rs 6,000 to Rs 12,000 per person per night for a full-board property with a conference room. Properties in the Galibeedu or Siddapur belt tend to offer more privacy than those on the main highway. Check that the property has a dedicated meeting room with natural light. A projector and a whiteboard are usually available on request. Mobile connectivity is patchy in parts of Madikeri, which is actually useful for a retreat. Confirm Wi-Fi reliability with the property if that matters to your group.

What to do on the last day

Keep the final morning for a closing session, no more than two hours. Use it to document decisions, assign owners and agree on follow-up timelines. Check out by noon, have lunch at the property or on the road, and aim to be back in Bangalore by early evening. Do not schedule any company meetings for the next morning. People need one night to process before returning to normal work.

Frequently asked questions

What is a reasonable total budget per person for a 3-night Madikeri leadership retreat?

For a mid-range exclusive property with all meals, expect Rs 20,000 to Rs 35,000 per person for accommodation and food over three nights. Add travel costs, facilitator fees if you are hiring one, and activity costs separately. A group of 15 to 20 people usually gets better per-head rates than a smaller group.

Should we hire an external facilitator?

If the agenda includes sensitive topics like org structure, succession or strategy disagreements, an external facilitator helps. It lets the senior-most person in the room participate rather than manage the session. For a retreat that is more reflective than problem-solving, a facilitator is optional.

How do we handle participants who cannot fully disconnect from work?

Set expectations before the retreat, not during it. Circulate a one-page brief a week in advance covering what is out of scope for the four days. Ask participants to nominate a deputy for urgent decisions. A complete blackout is rarely realistic for a senior leadership group, but limiting check-ins to one fixed window per day is workable.

Can Treemonks manage the full logistics for this kind of retreat?

Yes. We handle property shortlisting and booking, transport from Bangalore, activity coordination and on-ground support. If you need a facilitator we can recommend independent ones we have worked with, though the facilitation fee is separate. Get in touch with a rough headcount and dates and we will send you options within a couple of days.
