How to plan a corporate offsite in Hampi
Hampi is about 340 kilometres from Bangalore, roughly six hours by road or overnight by train. It is quiet, genuinely different from a resort hill station, and the UNESCO heritage setting gives your team something to talk about beyond the usual offsite activities. This guide covers the practical side so you can plan without surprises.

The most common option is a chartered bus from Bangalore, leaving Friday evening and arriving early Saturday morning. Overnight AC sleeper buses are available if your headcount is above 20 or so. Alternatively, the Hampi Express train departs Bangalore around 10 PM and reaches Hospet Junction by 6 AM. Hospet is 13 kilometres from Hampi, so factor in local transfer by tempo traveller or cab. For groups that want to fly, the closest airport is Hubli, about 140 kilometres away. It adds cost and coordination but works for senior leadership groups where comfort matters more than budget.
Where to stay and hold your sessions
Accommodation in Hampi itself is mostly small guesthouses. For a corporate group you will want to base yourself in Kamalapura or on the Tungabhadra Dam road, where there are larger properties with meeting rooms and lawns. Evolve Back Kamalapura Palace is the most established option for mid to senior teams, with proper conference facilities and enough rooms to keep the group together. Budget per person per night runs from around Rs 4,500 for decent business-grade properties to Rs 18,000 or more at Evolve Back. If your group is 30 or more, check whether the property can block out most of the hotel. A shared venue makes the agenda much easier to manage and keeps energy focused.
Building the agenda
A two-night, three-day format works well. Day one is travel and check-in, with a light evening session after dinner, usually a facilitated conversation or team quiz, nothing that needs full concentration after a long journey. Day two is your main working day: morning strategy session or workshop, post-lunch break, then a heritage walk through the ruins or a coracle ride on the Tungabhadra in the late afternoon. That combination of work and activity lands well without exhausting people. Day three should be kept light. A short outdoor activity before breakfast, then checkout and the return journey. Trying to pack a full workshop on day three almost always backfires. People are already mentally heading home.
Budget and what to budget for
For a group of 25 people on a two-night trip, an all-in budget of Rs 1.8 lakh to Rs 2.8 lakh is a reasonable working range for mid-tier accommodation, chartered transport, meals and one facilitated activity. Evolve Back will push you above that. Budget also for a local coordinator on the ground, someone who knows the sites and can manage logistics on day two so your HR team is not chasing drivers and managing headcounts. Miscellaneous costs that teams forget: porterage, tips for hotel staff, travel insurance if your policy requires it, and any photography or videography you want for internal comms. These are small individually but add up to Rs 15,000 to Rs 25,000 for a group of 25.

Frequently asked questions
Is Hampi suitable for a team that has never done an offsite before?
Yes, it works well as a first offsite because the setting does a lot of the work. The heritage site gives people a shared experience without needing elaborate programming. Keep the agenda simple and the logistics pre-arranged and it runs cleanly.
What is the best time of year to go?
October to February is the comfortable window. Temperatures are manageable and the light is good for the heritage walks. March to May gets very hot and is hard to recommend for an outdoor-heavy agenda. The monsoon months, June to September, can be fine if your itinerary is mostly indoors, but some river activities will not be available.
How far in advance should we book?
For the October to January peak season, block your venue at least 8 to 10 weeks out, especially if you want a property like Evolve Back. Chartered transport should be confirmed at least 3 weeks in advance. Leaving it to 2 weeks before the trip usually means paying premium rates or settling for a second-choice property.
Can Treemonks handle the full planning or just the venue?
Treemonks handles end-to-end planning, transport, accommodation, agenda design, facilitation and on-ground coordination. You can also come to us with just the venue or just the transport piece if you have already sorted the rest. Either way works.
